In this role, you will play a key part in fostering an exceptional experience for our members and other visitors when they come to our facility. You must have a knack for hospitality while keeping track of event details, contracts, and communications, as well as a cool head under pressure and a can-do attitude.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Coordinates calendaring and all services for meetings and training events, including meeting set-up, AV technology set-up, meeting tear-down, catering, signage, facilities, and special needs requirements.
- Consults with meeting hosts to determine objectives and requirements for meeting and training events.
- Available on-site all day for each meeting to ensure event needs are met.
- Inventories, orders, and stocks supplies to ensure a fully stocked social hub, catering kitchen, and meeting room coolers.
- Evaluates and selects vendors/service providers for catering services
- Monitors event activities to ensure room capacity is within fire code requirements, participant satisfaction, and resolution of any problems that arise.
- Reviews event bills and orders for accuracy of materials and supplies.
- Manages mail and deliveries.
- Manages office equipment and ensures routine maintenance is scheduled and malfunctions are resolved quickly.
- Manages printer vendor and ensures backup toner and all supplies are ordered and stocked.
- Organizes and maintains storage areas.
- Communicates with manager to ensure back-ups are available to complete assigned responsibilities for daily functions when unavailable.
- Orders and maintains office supplies
Other functions
- Tracks and enters political action committee (PAC) check information into a database as received to ensure accurate and up-to-date records and manages reconciliation of donor checks for both state and federal PACs.
- Works with the CFO and government relations (GR) team on compliance tracking and reporting, as well as other data tracking and related reports.
- Assists the GR Team, as available, to support event planning and logistics.
- Perform other duties as assigned.
EDUCATION AND EXPERIENCE
- High School diploma or GED required.
- Associate or bachelor’s degree in business administration or related field is preferred.
- Three plus years of experience as an administrative assistant, event planner or in a customer service position.
- Demonstrated experience delivering outstanding customer service and a service mindset.
- Valid driver’s license.
